MINUTES


Present:  Adam Williams, President; Trent Fox, Vice President; John Adams, Secretary; Alice Gillis, Member; Tyce Stebbins, Member; Darin Gullion, Assistant Superintendent; and Reece Mann, Superintendent


  1. CALL TO ORDER


At 6:30 p.m. Board President, Adam Williams, called the meeting to order.

  1. AMEND AGENDA


A motion was made by Tyce Stebbins and seconded by John Adams to amend the agenda, as presented.  The motion was approved unanimously.


  1. MINUTES


A motion was made by Tyce Stebbins and seconded by Alice Gillis to accept the minutes of the business meeting and executive session held on Tuesday, December 6, 2016.  The motion was approved unanimously.


  1. FINANCE


  1. A motion was made by John Adams and seconded by Trent Fox to accept the list of vouchers, as presented.  The motion was approved unanimously


  1. Purchases over $7500:


A motion was made by Tyce Stebbins and seconded by Trent Fox to approve the following (items 1-4):

  1. A motion was made by Tyce Stebbins and seconded by Trent Fox to approve the recommendation to employ Sherri Spay as a temporary Special Education Teacher at Albany Elementary School effective January 3, 2017, pending successful completion of all pre-employment testing.  The motion was approved unanimously.


  1. Classified Staff


A motion was made by Tyce Stebbins and seconded by Alice Gillis to approve the following (item 1):


  1. Retirement of Lois Cole, Deputy Treasurer at Central Office, effective January 24, 2017.  Any training taking place beyond January 24, 2017 will be paid at an hourly rate of $25, with a maximum of 80 hours.


The motion was approved unanimously.


A motion was made by Tyce Stebbins and seconded by Trent Fox to approve the following (item 2):


  1. Recommendation to employ Monica Bass as a Substitute Latchkey Aide effective January 9, 2017, pending successful completion of all pre-employment testing.


The motion was approved unanimously.


  1. Extra-Curricular


A motion was made by Tyce Stebbins and seconded by Trent Fox to approve the following (items 1-3):


  1. Recommendation to employ Chase Criswell as a Head Girls’ Track Coach at Delta High School effective for the 2016-17 school year.


  1. Recommendation to employ Emily Grider as an Assistant Girls’ Track Coach at Delta High School effective for the 2016-17 school year.


  1. Recommendation to transfer Jeff Pease from a Volunteer Wrestling Coach to a Freshmen Wrestling Coach at Delta High School effective for the 2016-17 school year.


The motion was approved unanimously.


  1. Conference Requests/Field Trips


A motion was made by John Adams and seconded by Tyce Stebbins to approve the following (items 1-2):


  1. Rebekah Weaver and Elana Camp request permission to attend the Indiana Music Education Association Professional Development Conference to be held from January 12, 2017 through January 14, 2017 at the Grand Wayne Convention Center in Ft. Wayne, IN.


  1. Allison Overholt, Ashley Osterholt, Greg Kile, Lisa Cook, Ryan Parrott, Susan Speicher, and Terri Shaw request permission to attend Textbook Caravan to be held on January 26, 2017 at the Horizon Convention Center in Muncie, IN.


The motion was approved unanimously.



  1. Information and Proposals


  1. Superintendent


  1. A motion was made by Trent Fox and seconded by John Adams to approve the Delta Middle School 7th grade Chicago trip, as presented.  The motion was approved unanimously.


  1. A motion was made by John Adams and seconded by Tyce Stebbins to approve the Teacher Performance Grant in the amount of $138,709, as presented.  The motion was approved four in favor with Trent Fox abstaining.


  1. A motion was made by Trent Fox and seconded by Tyce Stebbins to approve authority for Superintendent Mann to hire a Deputy Treasurer at Central Office and Treasurer at Delta High School, as presented.  The motion was approved unanimously.


  1. A motion was made by John Adams and seconded by Tyce Stebbins to approve Option 2 for the 2017-2018 School Year Calendar, as presented.  The motion was approved unanimously.


  1. Mr. Mann recognized Board President Adam Williams.


  1. Mr. Mann informed the Board about the following fundraisers:


  1. Doug Fant and Me-Me Pruitt request permission to take donations at Royerton Elementary School for the American Heart Association from January 23, 2017 through January 27, 2017, as presented.  Proceeds go towards the American Heart Association.


  1. Miranda Hummel and Alicia Fuller, Sophomore Class, request permission to hold a Sweetheart’s Dance at Delta High School on February 25, 2017 from 7:30 p.m. to 10:00 p.m., as presented.  Proceeds go towards the Sophomore Class.



  1. Assistant Superintendent


A motion was made by Tyce Stebbins and seconded by Trent Fox to approve the following (items 1-3):


  1. Use of Facilities:


  1. Laura Seibold-Caudill, DHS Swim Team and Cardinal Swim Club, requests permission to use the Delta High School pool and locker rooms on December 29, 2016 from 12:00 p.m. to 8:00 p.m. to hold the Delta/Cardinal Swimming Stroke Clinic, as presented.


  1. Terry Summers, Delta Girls’ Softball, requests permission to use the Delta Middle School Gymnasium from March 13, 2017 through March 15, 2017 from 3:45 p.m. to 6:00 p.m. to hold softball tryouts, as presented.


  1. Tamara Meacham, Albany Tri-Kappa, requests permission to use the Albany Elementary Gymnasium on April 4, 2017 from 3:00 p.m. to 9:00 p.m. to hold Basket Bingo, as presented.


The motion was approved unanimously.


A motion was made by Tyce Stebbins and seconded by Alice Gillis to approve the following (items b-c):


  1. Request to surplus items at Royerton Elementary School, as presented.

  1. BOARD MEMBER COMMENTS

Tyce Stebbins – Mr. Stebbins stated he attended the Royerton Christmas Program and they had different circumstances this year because the balcony wasn’t available at Emens Auditorium.  He stated they were rushing the kids in and out and all the teachers were helping.  It was a well-oiled machine, as usual, and they always do an awesome job with it.  He commented it’s nice to see the community out and supportive of all the programs.  Mr. Stebbins welcomed Ms. Spay.  He knows she’s been wanting this for a long time and he is glad to have her.  He wished Ms. Cole the best as she heads into retirement and hopes everyone has a good holiday.

Alice Gillis – Ms. Gillis stated her family sent her a video of the Albany Christmas Program because she wasn’t able to attend and it was very good.  She welcomed Ms. Spay and thanked Ms. Cole for her 10 years of service with our corporation.  She thanked everyone for the well wishes she received.

John Adams – Mr. Adams concurred with his fellow board members.  He congratulated Ms. Spay and welcomed Ms. Bass.  He is glad we have the Teacher Performance Grant and to be able to get it out to teachers around the holidays is super and well deserved.  He thanked Mr. Mann for speeding that along and making it happen so they have the opportunity to get it before the Christmas holiday.  He stated he’s been Board President a couple of times as well as a few others and he just wants to say Mr. Williams has done a fantastic job his first go around.  He appreciates all Mr. Williams has done.  He stated when you are Board President, you are the first contact and can get a lot of extra emails or phone calls for things that have happened.  He wants to let people know who have never served as a Board President of a school corporation that there is a lot of work that goes into it.  It can be early morning or late night phone calls and you never know when the phone is going to ring, but you are always there to serve.  He stated Governor Mitch Daniels told him once that he would rather be Governor than a Board President.  Mr. Adams stated it is a tough and unique job and Mr. Williams has served it well and he thanked him for that.  

Trent Fox – Mr. Fox congratulated Ms. Spay and hopes Ms. Cole enjoys her retirement and has a good time with many fun years ahead.  He wished everyone a happy holiday season and to enjoy their family and time away from school.  

Adam Williams – Mr. Williams greatly appreciates the opportunity to have served as Board President.  He has been asked before if serving on the Board is fun.  He’s not sure fun is the right word, but he’s very honored and glad to be doing it. He appreciates the opportunity to serve the wonderful people in our school corporation.  He stated it is a wonderful corporation and he thanked everyone for the hard work they put in.  He commented the Board does their part, but there are so many other people doing many more things than what the Board does and he greatly appreciates it.  Mr. Williams was able to attend the Christmas Musical at Emens Auditorium.  He stated it was very entertaining and wonderful to watch.  He had a child participate in it for the first time and stated you can tell they are putting in a lot of hard work and there’s some talent up there.  He thinks everyone handled Emens construction restraints very well and that was appreciated and he’s glad it went well.  


FUTURE MEETINGS


  1. A regular meeting for the Board of School Trustees is scheduled for Tuesday, January 3, 2017 at 6:30 p.m. at the Administration Building.



  1. ADJOURNMENT

A motion was made by Trent Fox and seconded by Tyce Stebbins and Board President, Adam Williams, adjourned the meeting at 7:00 p.m.
